What you'll be doing:
- Facilities Operations: Providing overall
facilities support by ensuring the seamless delivery of facility
operations, building management, structural measures, maintenance
teams, housekeeping, reception, cafeteria operations, asset
management, visitor management, and security & safety
protocols. Clario's primary European facilities are situated in
Germany, Hungary, Belgium, Switzerland, and Turkey.
- Facility Layout Standards and Compliance:
Supporting facility layout standards for electrical systems, HVAC,
IT infrastructure (phones, conference systems, displays),
materials, access control and more. Collaborating with local
contractors/vendors/departments to manage these processes through
to completion, ensuring compliance with local and state building
codes.
- Site Coordination: Managing and coordinating
the logistics involved in opening, relocating, or closing a
facility, including security systems, access control, furniture,
signage, showroom/marketing requirements, telecommunications, and
more.
- Budgeting and Capital Expenditure: Actively
participating in the capital expenditure budgeting process and
managing purchasing requests for facility needs. Accurately
forecasting and preparing facility-related budgets. Conducting
financial and business analysis, including preparing reports on
expenditures, savings, and areas for cost optimization.
- Compliance and Standards Development: Ensuring
all facilities are operated and maintained in compliance with
local, state, and national laws, company standards, and procedures.
Responsible for developing and refining standards as business needs
evolve, including ensuring annual occupational safety and fire
inspections where applicable.
- Stakeholder and Management Communication:
Maintaining a dotted line to the local management teams,
participating in and reporting at management meetings. Building
strong relationships with key business stakeholders by collecting
feedback and delivering reports on business-critical aspects, such
as occupancy, site launches, and facility improvements and
audits.
- External Relations and First Point of Contact:
Serving as the First Point of Contact for the landlord, labor
inspectorate, municipalities, authorities, and occupational safety
departments.
- Vendor and Contractor Management: Building and
maintaining strong relationships with local building management and
managing third-party contractors/vendors responsible for facility
maintenance and operations. This includes monitoring tasks
completed, overseeing technical acceptance, and approving
invoices.
- Lease and Contract Management: Managing leases
and facility agreements, including understanding legal terms and
commercial contract structures. Ensuring contracts are renewed and
negotiated in a timely manner.
- Sustainability and Energy Efficiency:
Supporting sustainability initiatives by tracking, reporting, and
working towards reducing emissions and waste across facility
operations. Implementing energy-saving initiatives, including
tracking energy consumption and suggesting areas for
improvement.
- Crisis and Emergency Management: Developing
and maintaining emergency response plans for the facility,
including fire drills, evacuation procedures, and pandemic-related
safety measures.
- Training and Development: Coordinating safety
and facility-related training for employees to ensure everyone is
aware of evacuation procedures, safety protocols, and proper usage
of shared resources like conference rooms, equipment, and storage
areas.
- Team Collaboration and Support: Contributing
to team success by assisting colleagues in resolving internal
issues and supporting shared goals.
- Quality and Standards Management: Ensuring
adherence to organizational SOPs by regularly reviewing and
understanding operational guidelines. Supporting the establishment
and enforcement of departmental standards to maintain consistent
quality service.
- Technical and Industry Development: Enhancing
expertise through active participation in company-sponsored
training programs and maintaining up-to-date knowledge of industry
trends and emerging technologies to drive innovation and informed
decision-making.
What we look for:
- Bachelor’s degree in Facility Management or a comparable degree
with a technical background, alongside additional business
management training or further development.
- Five or more years of experience in facilities management or an
equivalent role, including proven experience in managing technical
building projects.
- Proficiency in working with computer software, including the MS
Office suite.
- Fluent language skills in both German and English are required.
Additional language skills are beneficial.
- Ability to influence others without direct authority.
- Strong ability to adapt to changing priorities.
- Organizational and time management skills to prioritize tasks
and meet established schedules, timelines, or deadlines.
- Creative problem-solving skills with strong project management
abilities.
- A strong desire to succeed while maintaining a professional and
positive attitude.
- Flexibility to travel to our European sites as needed,
typically averaging two trips per year.
